Before You Begin

What’s included in my price?

Your final price includes room and all hotel taxes. It does not include items such as charges for meals, parking, rollaway beds, telephone, valet and room service, or any other items of a personal nature. Therefore, a credit card is still needed at hotel check in, even if your room is prepaid as a part of your tour package. The registration form lists all items included and is available on our website: www.allseasonssportstravel.com.

You are responsible for planning and paying for items that are not part of your tour package. Some meals may be included, check the tour inclusions to determine what (if any) meals are included. Each tour is planned with specific inclusions based on the event. As items included will always vary, be sure to review what is included in the package and what’s not. Ask our travel professional to review the trip with you. Often we can assist with booking what you need individually to work within requirements of the tour (airfare, extra nights at hotel, events, and other transportation).

What should you expect on a tour?

Many people feel tours are the best way to travel because they are professionally planned and escorted with all the details handled by one of our travel professionals (payment requirement, confirmations, etc.). Your time is maximized which improves the overall enjoyment of your trip.

Why should I choose a tour?

Professionally escorted tours are a great, worry-free way to see a game or visit new places. All Seasons Sports Travel was opened in 1970 for sports tours. With almost 45 years’ experience, you can trust that the package tours you book will receive the highest level of quality, service and value for your dollar. All Seasons Sports Travel is the official travel agency for the University of Alabama, the University of Tennessee and the University of Kentucky Alumni Association. We also organize trips for Auburn University.

Is a tour more expensive?

Not usually. People sometimes think the tour price seems more expensive. In order to accurately compare price, you must add tips, taxes, transfers, party cost, souvenirs, and tickets (not always included in package price) to see the difference. Don’t forget to add in the value for your time and the hassle of making all of the calls and arrangements yourself to see what a value our packages offer. When you add it all up, our tour package affords you the best value and ease, as we take care of the details. Plus, you can’t put a price on the camaraderie and fun you experience when you travel with other fans. Most of our customers are loyal fans and travel to every game with us.

Can I make a special request?

Yes. We will be happy to make a request on your behalf; however, keep in mind that it is a REQUEST, not a guarantee. We do our very best to accommodate your needs to make your stay comfortable.

Can I earn reward points?

Since we prepay for your room, you will not earn hotel reward points. However, you may wish to check with the hotel to see if you can earn points for purchases while staying at the hotel. If you are traveling on a major airline, you can earn frequent flyer points (you must provide us or the airlines with your account number). If the air portion in the package is on a charter plane, then you cannot earn frequent flyer points.

I found a better price, why would I book your tour?

Service, experience and quality. We send an experienced tour guide to travel with you, and we only work with the best vendors to ensure quality equipment and dependability. What good is saving a few dollars if you arrive late to the tailgate party, miss kick-off or part of the game? We know from past experience the best companies to work with. Our choices are based on personal experience and customer comments. We factor in the time allotment necessary to maneuver in heavy traffic and large crowds.

What is a “land-only” package?

A land-only package includes all the items listed as “tour package features” EXCEPT for air transportation, airport/hotel transfers and baggage handling. This simply means that your tour package only includes the hotel portion. Your tour begins at check-in and ends when you check out of the hotel. You are responsible for arranging your own roundtrip transportation to the hotel. This type of tour allows for flexibility, use of frequent flyer miles or departure from various cities. Of course, one of our travel professionals can book individual airfare for you upon request.

If I’m not traveling, can I make a reservation for someone else?

When completing the reservation, use the name of the person for whom you are making the reservation. When entering credit card information, you may use your credit card and billing address for payment.

What does “Single, Double, Triple, Quad” mean?

Single, Double, Triple, and Quad refer to how many adults (13 and over) are sharing each room. For example, if 2 adults wish to stay in the same room, the price would be the double price and this would be per person.

What does the child price mean?

Children’s prices are limited to those 12 years of age or under sharing a room with one or more adults and using existing bedding. For example, if the room is shared with one adult, the single rate applies as the adult’s price plus the child’s price. If the room is shared with two adults, the double rate applies as the adult’s price plus the child’s price.

Are rates for children & infants different?

Any child age 0-2 years of age is considered an infant and may travel at no additional charge if the child is held on the parent’s lap during transportation. However, you will need to purchase a ticket for your child to attend the game or other events. Make sure you advise our travel professional, so that a notation is made in the file. You may wish to ask that we request a crib at the hotel at that time.

Ages 2 – 12 would be considered a child. The hotel usually does not charge for a child in the same room with two paying adults. Policies vary at each hotel and once you advise us of the age(s) of children traveling with you, we will confirm the hotel’s policy. Tour prices for children are in addition to the adult prices. A child will still need to pay for other inclusions in package (meals, tickets, transfers).

I live near the university but my friend lives in another state, can we still take a package and room together?

Absolutely. You can join us on one of our air packages and your friend can book a land-only package.

Do I need travel insurance?

Due to the high dollar amount of our packages, we strongly recommend the purchase of appropriate insurance coverage. Medical insurance policies may not protect your travels away from home and often have out-of-network deductibles. Likewise, coverage through credit cards and travel suppliers can have shortfalls and not fully protect you. For additional information, please see our travel insurance section {MAKE THIS A LINK}. Our packages are non-refundable even in the event of an emergency.

Making a Reservation

What type of payments do you accept?

We accept all major credits cards: Visa, MasterCard, American Express and Discover. Debit cards featuring the Visa or MasterCard logo are also accepted, however, please be advised these types of cards typically have a maximum amount that you may charge daily. Please check with your financial institution.

I'm traveling with other couples and would like to have our rooms and game tickets near each other. Is this possible?

Yes. If you are booking online, please indicate the last name (at a minimum) of the other couple(s) you’ll be traveling with in the request field. We will make every effort to accommodate your request.

How can I book your tour packages?

You can register & book our packages on our website: www.allseasonssportstravel.com. We typically offer both a “printable” registration form that can be filled out, mailed or faxed. Or for greater convenience, we offer an online registration form that will electronically transmit your registration information to our groups department.

If you ever have any questions regarding your registration process, you can call and speak to a professional group agent, available from Monday to Friday, 8:00AM to 5:00PM (CST) at (205) 623-2218 or (855) 788-1036 (outside Birmingham). If you are calling after hours, our recorded message will direct you to the extension necessary to leave a message. Your call will be returned the following business day

Hotels

The hotel doesn’t have my reservation or name?

No need to panic, we have your reservation. Our rooms are generally held in a block that has been arranged with the hotel’s sales department, and often are pre-paid and non-refundable. We agree to specific dates for reporting the names of guest to the hotel. Hotel rules for group travel differ from individual bookings. Your printed confirmation from us is all you need.

What do I need when I check into my hotel?

You will need a credit card for incidentals. If you do not have a credit card, you may leave a cash deposit for incidentals, however you may want to contact the hotel prior to arrival to determine the amount required.

When can I check in?

Check-in time is usually between 3:00 pm & 4:30 pm. You may check to see when your room will be available when you arrive at the hotel. Your room will be prepaid; however, a major credit card is still necessary for incidentals (such as phone charges, mini-bar purchases or movie rental). Most hotels are willing to store your luggage until your room is available. This allows you time to enjoy some activities upon arrival.

Can I check in early or check out late?

You need to check with the hotel directly for either an early check-in or late check-out. An early check-in is usually based on the availability of a room; therefore it cannot be determined until your arrival. In some cases a charge may be incurred for late check out. Should you determine that you need an extra night at the hotel, we will be happy to make arrangements for you.

What size is a triple or quad room?

A triple/quad room is the same size as a double-bedded room and beds will accommodate three or four people; but there will not be three or four separate beds. A rollaway may be requested but cannot be guaranteed due to size of room and fire codes.

What if I require a rollaway bed in my room?

A rollaway may only be added to King-bedded rooms and will incur extra charges. Tour participant will incur the charges directly from the hotel as an incidental charge. Requests for a roll-away is subject to hotel availability and varying fire and safety laws.

What about bed sizes in my room?

Bed sizes are handled as a request at all hotels, and we are happy to request your preference. If you prefer two double beds or one king size, let us know and we will do our best. Since the hotels are usually full at game time, our reserved block of rooms may be for a specific type, so we may be able to advise you of the bed type at registration.

I'd like to have a smoking room. Is one available at the hotel?

Should you require a smoking room, you may request one at the time of booking; however, many hotels are now smoke-free, including the accommodations, restaurants and lobby areas. Should a tour participant disregard the hotel’s smoking policy, the hotel may charge the guest a financial penalty in order to get the room back to a smoke-free environment. Please be sure to read the smoking policy posted in your hotel room for specific information and charges.

Can I extend my stay?

If you purchase a land-only package, typically you can add additional pre or post nights to your travel package. Contact one of our agents for pricing and availability.

Can you guarantee a certain hotel?

Our tour packages generally list the hotel we are including; however, we reserve the right to substitute with a similar type hotel, if necessary. Should this happen, you will be advised prior to travel.

Game Tickets

What if I have my own tickets to the game?

No problem. Our packages are sold with or without tickets. You may wish to purchase tickets through the Athletic Ticket Office, your athletic donor eligibility, or from other sources and then book our tour package. Whichever you prefer is fine with us.

Should you purchase game tickets elsewhere, a ticket deduction may be made from the cost of the tour package. Deduction amounts vary per tour package and must be taken by the specific date listed in the “Payment and Terms” section associated with the tour package.

I didn’t receive any game tickets in my tour documents. When will I receive these?

If you purchased game tickets as part of your tour package, these are typically distributed once you arrive and check-in at the hotel.

Can I buy just game tickets?

Our packages are all inclusive and therefore, we do not offer just game tickets.

Why are my seats/tickets different from my home game seats?

Your seats are going to be different from home games. Seats will vary for regular season away games, but we try to obtain the best available. For post season bowl games or championships, neither team is truly considered the home team as it is not either team’s field. All fans are visitors even if your team is designated as home team. The majority of highly preferred seating is assigned to TV stations, corporate donors, sponsors and university donors for bowl and championship games. Just like seats for regular season we try to get the best available seats for you.

Before Your Trip

When will I receive my tour documents?

Tour documents are typically sent via USPS Priority Mail or two to three weeks prior to travel. If you will not be at home during this time, please inform your booking agent so we may send your documents to an alternate address.

How much luggage can I bring?

When travelling with us on one of our air packages, we typically recommend one piece of checked luggage per person (50 lbs and under) and one carry-on. Since most of our larger group travel during post-season bowl games is on charter flights, we will advise in your itinerary if you may bring more than one piece of checked luggage. For smaller group tours travelling on commercial airlines during the fall season , we will provide the baggage regulations for each airline. Typically commercial airlines will charge for each piece of luggage that you check.
